LED Screen Rental in Sri Lanka: The Complete Buyer's Guide

LED video walls are now the visual centrepiece of professional event production across Sri Lanka. From the main hall at BMICH to rooftop ballrooms at Shangri-La and Cinnamon Grand, from outdoor concert stages at Viharamahadevi Amphitheatre to hotel lawns in Bentota, Galle, and Kandy — a well-specified LED wall is what separates a professionally produced event from an amateur one. Audiences who attend international conferences, watch live concerts, and follow brand activations on social media now expect the immersive, high-brightness visual quality that LED technology delivers. A projected image or a single monitor on a stand no longer meets that expectation.

This guide covers everything a Sri Lankan event organiser, corporate communications manager, wedding planner, or production company needs to know before booking LED screen rental — pixel pitch selection, indoor versus outdoor specs, screen sizing, structural and power requirements, content preparation, pricing, vendor questions, and what can go wrong. Read it once and you will walk into every LED screen rental conversation with the technical confidence to specify exactly what your event needs and push back on anything that does not meet the brief.

Sri Lanka's LED rental market has grown rapidly since 2018. There are now dozens of suppliers across Colombo and the provinces offering everything from P4 indoor panels for small seminars to full P6 and P8 outdoor walls for concerts and mass events. Quality and reliability vary significantly between suppliers. Price alone is a poor guide — a cheaper screen with older diodes, a slower processor, or no on-site technician can destroy an otherwise well-produced event in front of hundreds or thousands of people. This guide helps you ask the right questions and specify the right product.

Pixel Pitch Explained: The Most Important Decision in LED Screen Rental

Pixel pitch is the distance in millimetres between the centre of one LED pixel and the next. It is the single most important specification to understand when renting an LED screen in Sri Lanka, because it determines the minimum viewing distance at which the image appears sharp and continuous to the human eye. The rule is simple: smaller pixel pitch equals sharper image at close range, but costs more per square metre. Larger pixel pitch is less expensive per square metre but requires the audience to be further away for the image to appear clean.

P2.6 (2.6mm pixel pitch): The finest pitch widely available for rental in Sri Lanka. Delivers crisp, broadcast-quality imagery at viewing distances from 2.5 metres. Appropriate for close-range corporate press conferences, small conference rooms, media wall backdrops for interviews and photo opportunities, and high-end boardroom presentations. Per-square-metre rental cost is the highest of any pitch.

P3.9 (3.9mm pixel pitch): The industry standard for Sri Lankan hotel ballroom events and indoor corporate productions. Clear, sharp imagery from 4 metres. Correct for most BMICH conference rooms, hotel ballroom stage backdrops, award ceremony stages, product launch events with seated audiences from 4 to 15 metres, and conference stage backdrops where presenter slides and video need to be legible to all seated attendees. This is the pitch you specify for 90% of corporate events in Sri Lanka.

P4.8 (4.8mm pixel pitch): A versatile mid-pitch suitable for large indoor spaces and covered outdoor stages. Minimum comfortable viewing distance 5 metres. Good value for larger ballrooms, covered outdoor stages where the audience is 6 to 15 metres away, and indoor concerts in large hotel venues. Often used as a compromise pitch when the event budget does not support P3.9 across a very large screen area.

P5.9 / P6 (approximately 6mm pixel pitch): The standard outdoor pitch for Sri Lankan event stages — outdoor concerts, brand activations, dealer meets, political rallies, public screenings, and large outdoor corporate events. Minimum comfortable viewing distance is 6 metres. Works well for any outdoor event where the nearest audience members are at least one stage-width distance from the screen. This is the most rented outdoor pitch in Sri Lanka.

P8 and P10 (8mm and 10mm pixel pitch): Large-scale outdoor pitches for concerts, stadium sports events, and mass gatherings where the audience is 10 to 40 metres from the screen. Significantly lower cost per square metre than P6, making large-format screens practical at these pitches. Not suitable for indoor or close-range viewing.

A practical guide for Sri Lankan organisers: measure or estimate the distance from the screen face to the nearest seated or standing audience member. Multiply the pitch (in millimetres) by 1000. The result is the recommended minimum viewing distance in millimetres. A P3.9 screen: 3.9 × 1000 = 3,900mm = 3.9 metres minimum. If your front row is 4 metres away, P3.9 is the right specification.

Indoor vs Outdoor LED Screens: Critical Differences for Sri Lankan Events

Indoor and outdoor LED screens are fundamentally different products. They cannot be substituted for each other. Using the wrong type creates either a safety risk, a visible production failure, or both. Brightness is the decisive difference. Indoor LED screens produce 600 to 1,500 nits of brightness — sufficient for a controlled-light hotel ballroom or conference hall, where ambient light is managed by event lighting design. In direct Sri Lanka sunlight, an indoor screen producing 1,000 nits against ambient outdoor light of 50,000 to 100,000 lux produces an image so faint it is essentially invisible to the audience. This is not a technical exaggeration. It is a complete production failure that no amount of post-event explanation recovers.

Outdoor LED screens produce 4,000 to 7,000 nits — the brightness level required to cut through Sri Lanka's intense tropical sunlight and remain clearly visible to an outdoor audience throughout the event day. Premium outdoor screens for full-daylight operation are rated at 6,000 nits and above.

Weather protection is the second critical difference. Indoor screens are not sealed against water ingress. Outdoor screens carry an IP65 rating — fully protected against dust ingress and direct water jets from any direction. IP65 is the minimum acceptable specification for any outdoor event in Sri Lanka. Given that Sri Lanka's monsoon weather can arrive without warning during both the south-west monsoon (May to September on the western and southern coast) and the north-east monsoon (October to January in the north and east), any outdoor event must plan for rain, regardless of the season and the forecast.

Structural design also differs. Outdoor LED panels are built with heavier aluminium frames and locking panel connectors that resist wind loading at exposed outdoor sites. Indoor panels are lighter, assuming a sheltered environment. The ground-support structures used for outdoor screens are rated for wind loading calculations specific to the screen area and the site exposure — a 6×4 metre outdoor screen at a beachfront Galle venue or on an open field in Kurunegala requires a ground-support structure engineered for the wind forces specific to that location and screen size. Never accept an indoor screen for an outdoor event, regardless of cost savings offered. Always ask for the brightness specification in nits and the IP rating before signing a rental agreement.

LED Screen Sizes for Sri Lankan Events: What Configuration Do You Need?

LED screens are modular — individual panels (typically 500×500mm or 500×1000mm cabinets) are assembled into any width and height. This means you specify the dimensions you need rather than choosing from a fixed size list. The screen is built to your brief.

3×2 metres (6 square metres): Small conference rooms, seminar backdrops, media walls for press events and interview backdrops, small product launch events, and intimate award ceremonies with up to 80 seated attendees. Fits within standard hotel meeting rooms and provides clear visual presence for small to medium-sized audiences.

4×3 metres (12 square metres) or 5×2.5 metres: A step up for medium-scale corporate events — departmental town halls, training sessions, product briefings, and corporate events with 100 to 200 attendees. The standard minimum size for an event that wants a professional visual impact without the budget of a large-format production.

5×3 metres (15 square metres) or 6×3 metres: The most commonly rented configuration for Sri Lankan mid-scale corporate events — hotel ballroom productions at Cinnamon Grand, Hilton, Galadari, Kingsbury, and Waters Edge, product launches with 200 to 400 attendees, award ceremonies, and annual company events. Visible from the back of most standard hotel ballroom configurations.

8×4 metres (32 square metres) or 6×4 metres: Large ballroom events, outdoor stage backdrops at dealer meets and brand activations, and main-hall configurations for events with 400 to 1,000 attendees. The standard for BMICH main hall events, large outdoor corporate activations, and premium product launches.

10×5 metres (50 square metres) and above: Major outdoor concerts, large political events, sports activations, and any event where the stage is visible to an audience of 1,000 or more. At this scale, side screens for IMAG (Image Magnification — live camera feeds of the stage) are standard practice. IMAG screens ensure that audience members at the sides and rear of large venues and outdoor spaces can see the presenter, performer, or speaker clearly in real time.

Curved screen configurations — where panels are assembled in a gentle arc following the stage geometry — are available and increasingly used for premium Sri Lankan corporate events where the visual design calls for a curved video wall. The LED panel's cabinet design must support a specific degree of curvature; confirm curved capability with your rental supplier if a curved configuration is planned. For wide stages, a centre screen plus two flanking screens is often more effective than a single very wide screen — the three-panel configuration provides better sightlines across the full audience width while allowing different content zones (centre stage action on flanking screens, slide content on centre screen) that a single screen cannot deliver.

Technical Requirements: Power, Rigging, Signal and Content Specifications

LED walls have significant technical requirements that must be confirmed with your venue, structural engineer, and generator supplier before the rental contract is signed. Discovering these requirements on event day is too late.

Power consumption: A 6×4 metre P6 outdoor LED wall consumes approximately 18 to 24 kilowatts at peak load. A 5×3 metre P3.9 indoor screen uses approximately 8 to 12 kilowatts. These loads must be assessed against the venue's available power supply or the event generator capacity. LED rental operators provide power consumption calculations per screen configuration — request these in writing and provide them to your venue or generator supplier during the technical planning phase. Hotels in Sri Lanka typically have power budgets per event that limit the total load from AV, lighting, and other technical systems simultaneously. Confirm the LED screen's share of this budget before committing to screen size and specification.

Rigging and structural support: Indoor LED walls are typically suspended from truss systems. The truss either hangs from the venue ceiling using certified rigging points and rated chain hoists, or is self-supporting on a ground-support structure (goal-post or ladder truss on base plates). Maximum load per rigging point must be confirmed with a certified rigger against the venue's ceiling structural rating. Sri Lanka's event venue certification for rigging varies — BMICH and major Colombo hotel venues have documented rigging capacities; smaller provincial venues and non-purpose-built event spaces may not. Never rig an LED wall from untested ceiling structures without certified structural assessment. A screen weighing 800 kilograms falling from 6 metres at an event is not a recoverable situation. Outdoor ground-support structures for large screens must be engineered for the specific screen area and site wind exposure. Engage a supplier who provides calculation sheets for the structural specification, not one who installs a frame and hopes for the best.

Signal path: The video signal from your laptop, media server, or broadcast desk travels to an LED processor (a dedicated hardware unit that converts the signal to the LED wall's native format and manages brightness and colour calibration), then distributes to the individual panel cabinets. Most professional LED processors accept HDMI 2.0, DVI, and DisplayPort input. Confirm the processor model with your rental supplier before the event and verify that your source device (laptop, media playback server, switcher) has a compatible output. Signal path failures — wrong adapters, too-long HDMI cables without active repeaters, incompatible refresh rates — are among the most common causes of LED wall problems on event day.

Content resolution: LED walls render content at the native resolution of the assembled panel configuration. A 5×3 metre P3.9 screen assembled from 500×500mm cabinets has a native resolution of approximately 1280×768 pixels. Your presentation software, media player, and any live switching equipment must output a resolution that matches or scales cleanly to this native resolution. The rental supplier provides the exact native resolution with the booking confirmation. Do not design stage graphics at standard 1920×1080 resolution and assume they will display correctly — always design to the confirmed native resolution.

Calibration and colour management: Quality LED rental includes factory-calibrated panels matched to consistent colour temperature and brightness across the full wall surface. Mismatched or uncalibrated panels display as visible bands, patches, or colour inconsistencies across the wall that are immediately apparent to the audience. Ask whether the panels are batch-matched and calibrated. This is a direct indicator of professional-grade equipment versus commodity rental stock.

LED Screen Rental Pricing in Sri Lanka: What to Budget

LED screen rental pricing in Sri Lanka reflects the screen's pixel pitch, size, indoor versus outdoor specification, included accessories, and whether a technical operator is included. The ranges below are indicative for 2025 and 2026 and assume a one-day event with delivery, setup, operation, and strike included.

Small indoor screen — P3.9, 3×2 metres (6 sqm): Rs 40,000 to Rs 80,000 per event day. Includes processor, cabling, ground support or truss, and setup. Appropriate for small conference and seminar contexts. Medium indoor screen — P3.9, 5×3 metres (15 sqm): Rs 100,000 to Rs 180,000 per event day. The most common rental tier for mid-scale Sri Lankan corporate events at hotel venues. Large indoor screen — P3.9, 8×4 metres (32 sqm): Rs 180,000 to Rs 320,000 per event day. For major ballroom events, large conference productions, and premium product launches.

Medium outdoor screen — P6, 5×3 metres (15 sqm): Rs 120,000 to Rs 220,000 per event day. Includes outdoor-rated panels, IP65 weatherproofing, outdoor processor, and ground-support structure. Large outdoor screen — P6, 8×5 metres (40 sqm): Rs 250,000 to Rs 450,000 per event day. For major outdoor concerts, mass corporate events, and large brand activations. Concert-scale outdoor — P8 or P10, 12×6 metres (72 sqm) and above: Rs 450,000 to Rs 900,000+ per event day depending on exact size and configuration.

What is and is not included in a rental quotation varies significantly between suppliers in Sri Lanka. Before comparing quotes, confirm that each quote includes: LED panels and processor; all signal cabling between source and processor; power distribution within the LED system; delivery to venue; setup and commissioning; a technical operator on-site throughout the event; strike and removal after the event. A quotation that excludes the operator, or that charges separately for delivery, setup, or strike, may appear cheaper but is not directly comparable to a full-service quotation.

Multi-day events: Events running two or more days (annual conferences, multi-day trade shows) attract reduced day rates for subsequent days — typically 30% to 50% of the first-day rate for days two and three, since setup and strike labour is only charged once. Accessories billed separately: Generator supply, rigging and truss systems, content management laptop and software, signal extenders for long cable runs, and IMAG camera systems are quoted separately in most Sri Lankan LED rental packages. Request a fully itemised bill of quantities rather than a lump-sum figure to understand the total cost and to make fair comparisons between suppliers.

What to Check Before Signing an LED Screen Rental Agreement in Sri Lanka

The LED rental market in Sri Lanka includes professional operators with well-maintained equipment and experienced crews alongside budget operators with aging panels, underpowered processors, and no qualified technicians. The difference is not always visible in a quotation document. These questions help you identify which category you are dealing with.

Ask to inspect the panels before the event, or request photos of panels from a recent event of similar scale. Look for: uniform brightness across the full wall without visible patches or lines; consistent colour temperature across all panels without noticeable warm or cool sections; clean panel faces without physical damage to diodes; clean cable runs without improvised connections. Professional panels are maintained, matched, and stored properly between events.

Ask which processor model is included. The processor determines signal compatibility, maximum refresh rate, colour accuracy, and the ability to handle multiple simultaneous inputs for complex event productions. Premium processors from Novastar, Colorlight, and Brompton Technology are the industry standard for professional event production globally and in Sri Lanka. Generic or unbranded processors introduce compatibility risks and quality limitations that become apparent under production pressure.

Ask whether the technician included is a dedicated LED operator or a general AV technician who also manages sound, lighting, and other systems. An LED wall at a large event needs a dedicated operator focused exclusively on the screen throughout the event — one person cannot simultaneously operate an LED wall, a sound desk, and a lighting console to a professional standard.

Ask for the supplier's protocol if the screen fails during the event. Professional operators carry spare panels, a backup processor, and replacement cabling to every major event. Their response to this question reveals whether they have thought through contingency planning or are hoping nothing goes wrong. Ask for evidence of structural and rigging certification for outdoor events. A reputable supplier has documentation for their ground-support structures' wind-load rating and can provide the name of the engineer who approved the structural specification.

Ask whether the panels are owned by the rental company or sourced through a sub-rental arrangement. Sub-renting — where the company you book does not own the equipment and is renting it from another supplier for your event — introduces a chain of accountability that can leave you without recourse if equipment quality falls short of what was represented.

LED Screens for Specific Event Types in Sri Lanka

Corporate conferences and AGMs: The primary requirement is crisp presenter slide reproduction legible to every seat in the room. P3.9 indoor screens at 5×3 metres or larger, with a video switcher that can cut between presenter laptop, live camera feed, and pre-produced video content seamlessly. HDMI confidence monitoring for the presenter (a separate screen visible only to the person on stage showing what the audience sees) is standard for professionally produced conferences. Live streaming integration — an RTMP or SDI feed from the LED processor or a separate capture card — is increasingly expected for hybrid events where remote audiences watch simultaneously.

Product launches: Visual drama is the priority. Large-format screens, often curved or multi-panel configurations that wrap the stage, with high-resolution brand and product graphics designed specifically at the screen's native resolution. Content is typically managed by a dedicated media server (not a laptop) to ensure glitch-free playback of high-bitrate video at the critical reveal moment. A product launch where the reveal video stutters or the screen goes blank is a brand reputation problem, not just a technical inconvenience.

Outdoor concerts and music events: P6 or P8 outdoor screens, high brightness (minimum 5,000 nits for daylight operation), IMAG side screens for large-format events, and a video director calling cuts between multiple cameras to the IMAG screens in real time. The technical crew for a concert-scale LED production includes a dedicated LED operator, a video director, and multiple camera operators — this is a broadcast-grade technical team, not a single AV operator.

Weddings and social events: Increasingly, Sri Lankan weddings at premium venues use LED screens for entrance backdrops, stage surrounds, and dynamic content during reception programmes. The priority is visual ambiance rather than slide reproduction — high-quality video content (pre-produced films, dynamic graphics, romantic imagery) on screens that complement the décor rather than dominating the space. P3.9 or P4.8 indoor screens at sizes proportionate to the venue and stage dimensions. Content is typically a mix of couple-specific video productions, monograms, and ambient visual elements produced by the event's creative team.

Trade shows and exhibitions at BMICH: Booth-scale LED screens for exhibitor stands at Sri Lanka's major trade exhibitions — Ideal Home, EDEX, CONSTRUCT, Motor Show, and industry-specific trade fairs — are typically smaller format (3×2 metres or 4×2 metres) running looped product demonstration videos, brand content, and specifications. These are self-contained units on their own ground-support frames, requiring only standard power connections from the exhibition hall's booth power supply.

Common LED Screen Rental Mistakes at Sri Lankan Events

Specifying the wrong pixel pitch for the viewing distance: The most common LED specification error in Sri Lanka. Booking P6 panels for a hotel ballroom where the front row is 4 metres away produces a pixelated image visible to every front-row attendee. Booking P3.9 panels for an outdoor event running over daylight hours produces an image invisible in direct sun. Match the pitch to the viewing distance and the indoor/outdoor environment, not to the available budget.

Booking without confirming venue power capacity: A 6×4 metre LED wall pulling 22 kilowatts in a hotel venue with a 30-kilowatt total AV power budget leaves 8 kilowatts for every other technical system — sound, lighting, AV switchers, and laptop charging. This frequently results in tripped circuit breakers mid-event. Confirm power budgets in writing with the venue before finalising the screen size.

No signal path rehearsal: The most common cause of the agonising five-minute delay at the start of a conference or launch while the technical team troubleshoot why the laptop is not displaying on the LED wall. A full signal path test — source device to processor to screen — conducted at least 90 minutes before doors open prevents this entirely.

Designing content at the wrong resolution: Presentations built at 1920×1080 displayed on a screen with a native resolution of 1280×960 produce letterboxing or stretching that is immediately visible. Content must be designed at the confirmed native resolution of the specific screen configuration. This requires the rental company to provide the native resolution at booking confirmation, not on the day of the event.

No backup for the LED processor: The processor is the single point of failure that takes down the entire screen. One processor failure with no spare available means a black screen for the duration. Professional operators carry a backup processor to every event. Ask explicitly whether a backup is included.

Assuming the same screen works for both indoor and outdoor sessions: Events with an indoor conference session and an outdoor evening reception that use the same LED screen must confirm whether the screen is suitable for the outdoor ambient light levels at the outdoor session time. Early evening outdoor events in Sri Lanka may be manageable with a bright indoor screen; full afternoon outdoor sessions are not. LED Screen Rental Sri Lanka — What You Are Actually Hiring

LED screen rental in Sri Lanka means hiring a modular LED video wall system — a tiled array of individual LED panels that combine to form a large, seamlessly joined display screen. Unlike a projector and screen setup, an LED video wall produces its own light, works in full daylight, has no minimum throw distance, and can be built to virtually any size or aspect ratio by adding or removing panels.

In Sri Lanka's event industry, LED screens are used in two primary configurations. Indoor LED walls — used in hotel ballrooms, conference centres, exhibition halls and corporate venues — are built from fine-pitch panels (P2 to P4) producing sharp, close-up viewing quality. Outdoor LED walls — used for concerts, political rallies, outdoor festivals, sports events and mobile roadshow trucks — use coarser panels (P4 to P10) with higher brightness (5,000 to 10,000 nits) to remain visible in direct Sri Lankan sunlight.

Every LED screen rental in Sri Lanka includes the panels themselves, the processing hardware (video processor / scaler), the structural rigging or ground-support frame, power distribution, signal cabling, and a trained technical operator who manages the screen throughout your event. Delivery, installation, operation and removal are all part of the rental service — you do not handle the equipment yourself.

Pixel Pitch Guide — Which LED Screen Specification Do You Need?

Pixel pitch is the single most important technical specification when renting an LED screen in Sri Lanka. It is the distance in millimetres between the centre of one LED cluster and the centre of the next. A smaller pixel pitch number means more pixels per square metre, finer detail and sharper image — but also higher rental cost. Choosing the wrong pixel pitch for your viewing distance either wastes budget (too fine for the distance) or produces a visibly pixelated image (too coarse for close viewing).

Pixel PitchTypeMinimum Viewing DistanceBrightnessBest For
P1.5 – P2Ultra-fine indoor1.5 – 2 m800 – 1,200 nitsBoardroom presentations, luxury event backdrops, broadcast studios, close-range exhibition displays
P2.5 – P3Fine indoor2.5 – 3 m1,000 – 1,500 nitsCorporate conferences, hotel ballroom events, product launches, BMICH exhibition halls
P3.9 – P4Standard indoor / covered outdoor4 – 6 m1,500 – 3,000 nitsStage backdrops at concerts, award ceremonies, outdoor events under covers, large conference halls
P5 – P6Outdoor semi-permanent5 – 8 m4,000 – 6,000 nitsOutdoor events, sports venues, roadshows, exhibitions in open spaces
P8 – P10Outdoor long-distance8 – 15 m6,000 – 10,000 nitsPolitical rallies, outdoor concerts, mobile LED trucks, highway advertising, large sports fields

Practical rule for Sri Lanka: Divide your minimum audience viewing distance (in metres) by 3 to get the maximum acceptable pixel pitch. A conference room where the back row is 9 metres from the screen needs a maximum P3 panel. An outdoor rally where the furthest viewers are 30 metres away can use P10 comfortably.

For most corporate events in Sri Lanka — hotel conferences, award nights, product launches — P3 or P3.9 is the standard specification and delivers excellent results in all common event venues including Cinnamon Grand, Shangri-La, Waters Edge, BMICH, Kingsbury and Galle Face Hotel.

Standard LED Screen Sizes for Events in Sri Lanka

LED screens are modular — size is built from standard cabinet dimensions. Most rental providers in Sri Lanka use 500×500mm or 500×1000mm cabinets. This means screen sizes increase in those steps. Here are the most commonly rented configurations for each event type.

Note on aspect ratios: Standard 16:9 widescreen content (PowerPoint, video) works best on screens wider than they are tall. If your content is 16:9, request a screen ratio to match. Custom aspect ratios are available — just specify if your content format is non-standard (square social media content, portrait video, etc.) at the time of booking so the screen configuration is planned accordingly.

Mobile LED Truck Rental Sri Lanka — Roadshow & Activation Screens

Mobile LED trucks are a distinct category of LED screen rental in Sri Lanka — a high-brightness outdoor LED video wall permanently mounted on a lorry or truck chassis, with an onboard generator. The truck drives to your location, parks, and operates as a standalone mobile advertising or event screen. No external power connection is required.

How Mobile LED Trucks Are Used in Sri Lanka

  • Product launches and brand activations — park outside a target retail location or competitor and run brand content directly to passing consumers
  • Political campaigns — the highest-volume use case in Sri Lanka — trucks travel pre-defined routes displaying candidate content and broadcasting live rally audio
  • FMCG roadshows — reach semi-urban and rural markets in Kurunegala, Anuradhapura, Matara, Jaffna that traditional outdoor media does not cover efficiently
  • Event amplification — park trucks outside a venue to display event content, sponsor branding and crowd direction to people approaching the entrance
  • Emergency public information — government and NGO campaigns to reach communities quickly across multiple districts simultaneously

Planning tip for Sri Lanka: Mobile LED trucks require prior route approval from the Police Traffic Division for movement in and around Colombo. For roadshows covering multiple districts, coordinate district-level police clearances at least 7 to 10 working days before the activation. Your LED truck supplier should be familiar with this process — if they are not, that is a red flag.

Content Guide — How to Prepare Visuals for LED Screens

The most common cause of poor LED screen image quality at events in Sri Lanka is not the screen — it is the content. Slides and videos prepared for a laptop screen or projector do not automatically look good on a large LED wall. Here is exactly how to prepare content that will look sharp and professional on your hired LED screen.

Video Content Specifications

SpecificationRecommendedMinimum AcceptableNotes
Resolution1920×1080 (Full HD) or 3840×2160 (4K)1280×720 (HD)Match aspect ratio to your screen configuration — 16:9 for standard widescreen

File formatMP4 (H.264 or H.265 codec)MOV, AVIMP4 H.264 is universally compatible with all LED processors used in Sri Lanka
Bitrate15 – 50 Mbps8 MbpsLow bitrate causes visible compression artefacts, especially on dark scenes and gradients

Presentation (PowerPoint / Keynote) Guidelines

  • Set slide size to 1920×1080px (16:9) — the default "widescreen" setting in PowerPoint. Do not use the old 4:3 ratio.
  • Use high-contrast text and backgrounds. White text on dark backgrounds reads well on LED. Light grey text on white is invisible. Black text on white can cause a "blooming" effect on high-brightness outdoor screens.
  • Minimum font size 24pt for body text. Smaller text is illegible at event scale. Test by viewing your slide from 5 metres away on your monitor — if you cannot read it, neither can your audience.
  • Avoid very thin lines and fine detail. Fine elements that look sharp on a laptop screen can disappear or alias on an LED wall with a different pixel pitch.
  • Export as PDF backup. Always bring a PDF version of your slides on a USB drive as a backup in case PowerPoint fonts or animations fail to render correctly on the event computer.
  • Bring all files on a USB drive AND a second USB drive. Never rely on email or cloud download at the venue — Sri Lanka's venue internet speeds are unpredictable.

Image Specifications

  • Minimum 1920×1080px resolution — larger is better
  • JPEG at quality 90%+ or PNG format
  • sRGB colour profile
  • Avoid heavily compressed social media images — download quality is not screen quality

Input Connections — What the LED Processor Accepts

Input TypeAvailabilityNotes
HDMI (Type A)Standard on all systemsMost common — from laptop, media player, broadcast device
DisplayPortAvailable on most systemsPreferred for 4K signal at 60fps — specify at booking if required
SDI (HD-SDI / 3G-SDI)Available on broadcast-grade systemsRequired for professional broadcast camera feeds — confirm at booking
USB media playbackAvailable on some processorsLoop video directly from USB without a laptop — confirm compatibility at booking
NDI network videoAvailable on advanced systemsFor streaming and broadcast integration — requires stable wired network at venue

Always bring your own HDMI cable (minimum 3 metres) and a USB-C to HDMI adapter if your laptop uses USB-C only. Do not rely on the venue or LED team to supply laptop adaptors.

LED Screen Rental Setup — Timelines & Logistics in Sri Lanka

Poor planning of setup time is the most common cause of last-minute stress at events with LED screens in Sri Lanka. Here is a realistic guide to how long setup takes for each screen size and configuration.

Setup Time by Screen Size

Screen SizeSetup TimeDe-rig TimeMinimum Access Required Before Event
3×2 m (small indoor)1.5 – 2 hours1 hour3 hours before event start
4×3 m (medium indoor)2 – 3 hours1.5 hours4 hours before event start
6×3 m (standard indoor)3 – 4 hours2 hours5 hours before event start
8×4 m (large indoor/outdoor)4 – 6 hours2 – 3 hours6 – 8 hours before event start
10×5 m+ (extra large outdoor)6 – 10 hours3 – 4 hoursDay before for complex rigging
Mobile LED truck30 – 60 min (screen already mounted)Drives away after event1 hour for positioning and generator connection

Pre-Event Checklist for Event Organisers

  1. Confirm venue access time with your venue coordinator — LED screen setup cannot begin until loading dock or service entrance access is granted. Confirm this in writing at least 1 week before the event.
  2. Provide a venue floor plan — share the stage dimensions, ceiling height, audience seating layout and any overhead obstructions (chandeliers, HVAC ducts, sprinklers) with the LED team at least 5 days before the event.
  3. Confirm power availability — for indoor events, check with the venue whether the available power supply can support the LED screen. For a 6×3m P3 indoor screen, expect approximately 6 to 10 amps at 230V. For outdoor events, a dedicated generator is always required.
  4. Supply all content at least 5 days before the event — this allows the LED team to test your files, format them correctly for the screen resolution and identify any issues before the event day.
  5. Plan a technical rehearsal — at minimum 2 hours before audience arrival, the full AV system including the LED screen, sound, lighting and presenter microphones should run a full rehearsal. This is when issues are found and fixed — not during the live event.
  6. Confirm the technical operator's contact number — you should have the direct mobile number of the LED technician who will be on-site for the full event. Do not communicate through a central office number on the event day.
  7. Plan for monsoon weather for outdoor events — if the event is outdoors during southwest monsoon (May to September) or northeast monsoon (November to January), confirm the IP rating of the screen panels and have a rain contingency plan agreed in advance with the LED supplier.

How to Book LED Screen Rental in Sri Lanka — Step by Step

  1. Define your requirements before enquiring. Prepare: event date and time, venue name and location, indoor or outdoor, expected number of attendees, required screen size or available stage width, type of content (presentations, video, live camera), whether a generator is needed, and any special requirements (IP rated for rain, specific aspect ratio, dual screens).
  2. Request a written quotation with full specifications. A professional quote should specify the pixel pitch, panel quantity, processor model, frame type (ground-stack or rigged), included services, operator hours, delivery area and any exclusions. If a supplier cannot provide this level of detail, the equipment quality and service reliability may be uncertain.
  3. Confirm the booking with a deposit. LED screen rental equipment is capacity-limited — peak event dates (December, April and major public holidays) book out weeks in advance. Confirm your booking with a deposit as soon as the quote is approved. A verbal confirmation does not reserve the equipment.
  4. Supply content and technical information 5 days before the event. Send all video files, presentation files, images and a run-of-show order to the LED team at least 5 working days before the event. This allows time for content testing, format conversion if needed, and a pre-event walkthrough of the programme flow.
  5. Confirm logistics 2 days before the event. Reconfirm venue access time, loading dock details, parking for the delivery vehicle, contact person at the venue on the day, and any last-minute programme changes. Share the final run-of-show with the LED operator so they know every cue in advance.
  6. Technical rehearsal on the event day. Build a minimum 2-hour technical rehearsal into your event schedule before the audience arrives. Run through every piece of content in order, test all inputs, check presenter confidence monitors, and have the LED operator walk the room to verify image quality from the back row.

Frequently asked questions

What pixel pitch should I specify for a hotel ballroom conference in Sri Lanka?

P3.9 is the correct specification for most hotel ballroom conference events in Sri Lanka where the front row is 4 to 6 metres from the screen. For smaller rooms where the nearest viewer is 2 to 3 metres away, P2.6 delivers sharper imagery. Do not use P6 or coarser pitches indoors — pixelation will be visible to front-row attendees.

How much does LED screen rental cost in Sri Lanka?

Indicative 2025 pricing: small indoor P3.9 screen (3×2m) from Rs 40,000 per day; medium P3.9 (5×3m) Rs 100,000 to Rs 180,000 per day; large P3.9 (8×4m) Rs 180,000 to Rs 320,000 per day; medium outdoor P6 (5×3m) Rs 120,000 to Rs 220,000 per day; large outdoor P6 (8×5m) Rs 250,000 to Rs 450,000 per day. Always confirm whether the quote includes operator, delivery, setup, and strike.

Can LED screens be used outdoors in Sri Lanka's rain?

Yes — outdoor-rated IP65 LED screens are designed to operate in rain. Sri Lanka's monsoon climate makes IP65 the minimum acceptable outdoor specification. Never use an indoor-rated screen (not IP65) outdoors. Confirm the IP rating in writing before booking for any outdoor event.

How far in advance should I book LED screen rental in Sri Lanka?

For events at BMICH, Colombo's major hotel venues, and any date in December or April (Sri Lanka's peak events season), book a minimum of six to eight weeks in advance. Quality P3.9 inventory is limited in Sri Lanka and premium dates fill quickly. For smaller events at off-peak dates, three to four weeks is generally sufficient.

What content format and resolution should I provide for an LED wall?

Ask the rental company for the exact native resolution of your specific screen configuration — it is different for every screen size and pixel pitch combination. Design all graphics, videos, and presentations at that native resolution. Standard HD 1920×1080 video scales reasonably on most screens but dedicated stage graphics should always be produced at native resolution for the sharpest output.

Do LED screen rental packages include a technician?

Professional packages include a dedicated LED technician on-site throughout the event. Confirm this explicitly — some budget quotations provide equipment only. A dedicated LED operator who focuses exclusively on your screen throughout the event is not optional for any production above a small seminar. Call 0771437707 to discuss the technical requirements for your specific event.

Can I rent an LED screen for a wedding in Sri Lanka?

Yes — LED screens at weddings in Sri Lanka are increasingly standard at premium venues. Common applications include entrance backdrops, stage surrounds during wedding reception programmes, video content playback for couple tribute films, and dynamic monogram displays. P3.9 indoor panels at 4×3 metres to 6×4 metres are the most common wedding configuration. Discuss the venue's power and rigging capabilities with your LED supplier before confirming the screen size.

Is LED screen rental available outside Colombo in Sri Lanka?

Yes — LED screen rental is available islandwide including Kandy, Galle, Negombo, Jaffna, Batticaloa, Anuradhapura, Kurunegala, Matara, Ratnapura, and Trincomalee. Travel and logistics costs for provincial events are quoted separately. Call 0771437707 to confirm availability and pricing for your specific location and event date.

What pixel pitch LED screen should I rent for a corporate event in Sri Lanka?

For most corporate events in Sri Lanka — conferences, award nights, product launches and hotel ballroom events — P3 or P3.9 is the standard recommendation. P3 is ideal for venues where the back row is within 9 metres of the screen. P3.9 is excellent value for most conference and banquet hall setups. For boardroom or VIP close-viewing setups where the audience is within 3 metres, P2 or P2.5 produces sharper results. For outdoor events where the audience is 10 metres or more from the screen, P6 or P8 outdoor panels are appropriate.

Is an LED screen better than a projector for events in Sri Lanka?

For most events in Sri Lanka, LED screens outperform projectors in several important ways. LED screens produce their own light so they work in ambient light without blackout — no need to dim the room. They have no minimum throw distance so they can be placed close to the stage or audience. Outdoor LED screens are fully visible in daylight, which projectors cannot achieve. LED screens also have no lamp to fail mid-event. Projectors remain a lower-cost option for small venues and tight budgets, but for professional corporate events, concerts and outdoor use, LED video walls are the preferred standard in Sri Lanka's event industry.

Can LED screens be used outdoors in Sri Lanka's monsoon weather?

Yes. Outdoor LED screens used in Sri Lanka are rated IP65 — fully sealed against dust and water jets from any direction. IP65-rated panels can operate in heavy rain, making them suitable for outdoor events during both the southwest monsoon (May to September) and northeast monsoon (November to January). The structural frame and power distribution for outdoor screens must also be weatherproofed. Always confirm the IP rating of outdoor screens with your supplier before booking — indoor panels rated IP20 cannot be used outdoors in rain.

What size LED screen do I need for my event?

A general guideline is that the screen width should be at least one-sixth of the distance to the furthest viewer. For a conference room 18 metres deep, a minimum 3-metre-wide screen is recommended. For a 300-person ballroom 25 metres deep, a 4 to 6 metre wide screen works well. For outdoor events with audiences spread over 50 metres, an 8 to 10 metre screen is more appropriate. Share your venue dimensions and audience size with us and we will recommend the right configuration.

Do you provide LED screen rental islandwide in Sri Lanka?

Yes. We provide LED screen rental for events islandwide across Sri Lanka including Colombo, Kandy, Galle, Negombo, Jaffna, Kurunegala, Anuradhapura, Trincomalee, Matara, Badulla and all other cities and towns. Our installation team travels islandwide with equipment. Outstation events require advance logistical planning — include your venue location in your enquiry so we can factor in transport, accommodation for the technical team and any local permit requirements.

Is a technical operator included in the LED screen rental?

Yes. Every LED screen rental includes a dedicated trained technical operator who is on-site for the full event duration. The operator manages content playback, input switching, screen calibration and any technical issues during the event. You do not operate the screen yourself. For events running multiple days, operators work in shifts to ensure continuous coverage. The operator's contact number is provided to the event organiser before the event day.

What video format should I send for my LED screen content?

MP4 format with H.264 codec at 1920×1080 resolution (Full HD) is the universally compatible standard for LED screens in Sri Lanka. For 4K content, MP4 H.265 at 3840×2160 is accepted on most modern processors. Send content at minimum 15 Mbps bitrate. Supply content at least 5 days before the event to allow for testing and format verification. Always bring a USB drive with your content to the event as a backup regardless of how files were previously transferred.

Can I display live camera footage on the LED screen at my event?

Yes. Live camera IMAG (image magnification) — where presenter or performer footage from a camera is displayed live on the LED wall — is a standard capability. It requires a camera, video switcher and camera operator in addition to the LED screen itself. IMAG is particularly useful for events above 300 to 400 attendees where audience members at the back cannot clearly see the stage. Specify at booking whether live camera feeds are required so the correct processing hardware is included in the system.
